This policy explains what personal information we collect through our website at filosstays.com, why we collect it, who we share it with, and the choices you have. We’ve written it in plain language. If anything is unclear, email us at legal@filosstays.com and we’ll explain.
1. Who we are and what this policy covers
Filos Stays LLC (“Filos Stays,” “we,” “us,” or “our”) is a short-term rental management company based in Louisville, Kentucky.
This policy covers personal information we collect through our website, filosstays.com. It does not cover the separate systems we use to manage properties for owners under contract (for example, our property-management and accounting platforms), which are governed by your management agreement with us.
2. Information we collect
Information you give us
When you use the website, you may share:
- Newsletter signup. Your email address. We use double opt-in, so you’ll confirm by email before we add you.
- Discovery-call booking. Your name, email address, the time you choose, and any details about your property you share, collected through Cal.com so we can schedule and prepare for the call.
Information collected automatically
When you visit the website, we collect a limited amount of technical information:
- Analytics. We use Google Analytics (GA4) and PostHog, which use cookies and similar technologies to measure how the site is used, and Cloudflare Web Analytics, a privacy-first, cookieless backup that tells us things like how many people visited a page, not who you are. See Section 5 for how analytics and advertising cookies work and how to opt out.
- Advertising. The Google Ads and Meta advertising tools use cookies and pixels to measure our advertising and to show you relevant ads on other sites and platforms. See Section 5 for details and how to opt out.
- Server and security logs. Our hosting and security provider records standard technical data such as IP address, browser type, and the pages requested, which helps keep the site running and protects it from abuse.
3. How we use your information
We use the information above to:
- Respond to your inquiry.
- Schedule and follow up on discovery calls.
- Send our newsletter, if you signed up for it.
- Measure and improve our marketing, including advertising (see Section 5).
- Operate, secure, and improve the website.
- Keep records and meet our legal, tax, and real estate licensing obligations.
We do not use your information to make automated decisions that produce legal or similarly significant effects about you.
4. How we share your information
We share personal information with the service providers and advertising partners that help us run and promote the website, and only as needed for the purposes described here:
- Cloudflare hosts the website, protects it from spam and abuse (Turnstile, rate limiting), and provides cookieless analytics.
- Resend sends our transactional emails and manages newsletter delivery.
- Supabase stores booking and inquiry details so we can follow up with you.
- Cal.com provides the booking tool used to schedule discovery calls.
- Google provides our email and calendar, our analytics (Google Analytics), and our advertising (Google Ads).
- PostHog provides product analytics that show us how visitors use the site so we can improve it.
- Meta provides advertising (the Meta Pixel) that helps us measure and target ads on Facebook and Instagram.
Our service providers (Cloudflare, Resend, Supabase, Cal.com, and PostHog) are bound to handle your information on our behalf and not for their own purposes. Our advertising partners, Google and Meta, use the information we share with them for their own advertising purposes, which is why we describe it as “sharing” below.
We may also disclose information if the law requires it, to protect our rights or safety or those of others, or in connection with a business transfer such as a merger or sale of assets.
We do not sell your personal information for money. Because we run advertising through Google Ads and the Meta Pixel, however, our use of those tools is treated as “sharing” your personal information for cross-context behavioral advertising under several US state privacy laws. You can opt out of that sharing at any time — see Section 6 and our Your Privacy Choices control.
5. Cookies, analytics, and advertising
We use cookies and similar technologies for analytics and advertising. Specifically, we use Google Analytics (GA4) and PostHog to understand how the site is used, and Google Ads and the Meta Pixel to measure our advertising and to show you relevant ads on other sites and platforms. PostHog sets first-party cookies and similar storage on your browser, and also records session replays (a playback of how visitors move through the site) to help us find and fix usability problems. Form fields are masked in those replays, so the text you type is not captured. See Section 7 for how long we keep this data. Our booking embed (Cal.com) and our backup analytics (Cloudflare Web Analytics) are functional and cookieless.
How we handle consent. We follow a US opt-out model. Analytics and advertising tags load by default, and you can opt out at any time. We do not show a cookie consent banner. To opt out, use the Your Privacy Choices control, or turn on a Global Privacy Control (GPC) signal in your browser — we honor a GPC signal automatically, so you don’t need to do anything else. When you opt out, we stop allowing the advertising and analytics cookies that share your information and tell our advertising tools to treat you as opted out on that browser. PostHog follows the same choice: when you opt out, it does not load and sets no cookies.
6. Your privacy choices
You can:
- Access, correct, or delete the information you’ve given us. Email legal@filosstays.com and we’ll help.
- Unsubscribe from the newsletter at any time using the link in any newsletter email.
- Opt out of sale/sharing and targeted advertising using our Your Privacy Choices control or a Global Privacy Control (GPC) browser signal, which we honor automatically.
California residents. Under the California Consumer Privacy Act, as amended by the California Privacy Rights Act, you have the right to:
- Know what personal information we collect, use, and disclose.
- Request a copy of the personal information we hold about you.
- Request that we correct or delete your personal information.
- Opt out of the sale or sharing of your personal information.
- Not be discriminated against for exercising these rights.
Because we run Google Ads and the Meta Pixel, we share personal information for cross-context behavioral advertising. You can opt out of that sharing at any time through our Your Privacy Choices control or by turning on a Global Privacy Control (GPC) signal in your browser, which we honor automatically.
Residents of other US states. If you live in another US state with a comprehensive privacy law — including Kentucky, under the Kentucky Consumer Data Protection Act (effective January 1, 2026), as well as states such as Colorado, Connecticut, Virginia, and others — you have similar rights to access, correct, delete, and obtain a copy of your personal information, and to opt out of targeted advertising and the sale or sharing of your personal information. You can exercise the opt-out through the same Your Privacy Choices control or a Global Privacy Control (GPC) signal.
To exercise any of these rights, email legal@filosstays.com. We may need to verify your identity before we act on your request. You may use an authorized agent to make a request on your behalf, and we may ask the agent for proof of authorization.
7. How long we keep your information
- Inquiries that don’t become clients. We keep your form and contact details for about 24 months so we can follow up, then delete or anonymize them.
- Newsletter. We keep your email until you unsubscribe.
- Clients. If you become a client, we keep records as long as needed for the relationship and for as long as our legal, tax, and licensing obligations require.
- Analytics and session replays. We keep PostHog analytics and session replays for 30 days. Google Analytics, Google Ads, and Meta retain data according to their own settings and policies.
8. How we protect your information
We use reputable service providers and reasonable safeguards, including encryption of data in transit, bot and spam protection on our forms (Cloudflare Turnstile, a honeypot field, and rate limiting), and access controls on our systems. No method of transmitting or storing information is completely secure, so we can’t guarantee absolute security.
9. Children’s privacy
Our website is meant for property owners and is not directed to children under 18. We don’t knowingly collect personal information from children. If you believe a child has given us information, email legal@filosstays.com and we’ll delete it.
10. Changes to this policy
We may update this policy as our website and practices change. When we do, we’ll revise the “Last updated” date at the top. If the changes are significant, we’ll make that clear. Please check back from time to time.
